The three things that decide whether it holds up

Write-back is a different risk class from reading. Pulling figures out of Exact or AFAS to summarise them is low-stakes. Booking something into the ledger is not, because a wrong entry propagates into VAT returns and annual accounts. Our default is read-only first, with a human approval step before anything is written, and full write-back only for processes that have proven themselves.

API limits are a design constraint, not a detail. These platforms document call limits per administration and per app, and a naive integration that polls everything constantly will hit them. That is a solved problem, through incremental syncs and queues, but it has to be designed in from the start rather than discovered in production.

Someone has to own it after go-live. Accounting platforms change their APIs, authorisations expire, a token gets revoked when someone leaves. An integration nobody maintains fails silently, which is worse than failing loudly. That is what managed AI at €500 per month covers. How to start

Fixed prices, one process at a time

We do not start with a platform choice. We start with which process, if automated, pays back inside a year. The €2,500 AI audit maps your administration, your volumes and your actual bottleneck, and tells you which of the three routes above fits, including the answer 'your package already does this, do not build anything'.

If a build is justified, the proof of concept is €20,000: one working connection on your own data, with acceptance criteria agreed before we start. Production, hardened and integrated, is from €50,000, and managed AI is €500 per month afterwards. Can AI write directly into Exact Online or AFAS?

Technically yes, through their APIs. Whether it should is a scoping decision. We default to read-only with a human approval step, because a wrong booking propagates into VAT returns and annual accounts. Full automatic write-back comes after a process has proven itself, not on day one.

Is the AI already in my accounting package enough?

Often, yes, and we will say so. Invoice recognition and simple categorisation ship with most Dutch platforms now. A custom connection earns its keep when the logic is specific to your business, when volumes are high, or when the process spans systems the vendor never intended to join.

What does a connection to Exact or AFAS cost?

Is our financial data safe in an AI integration?

It depends entirely on how it is built. We keep data inside the EU, scope API authorisations to the minimum the process needs, log every action for audit, and use no client data for model training. Those are contract terms, not aspirations, and they are written into the proposal.

Which is easier to connect, Exact Online or AFAS?

They are different rather than easier or harder. Both are well-documented and both are routine for an experienced integrator. What drives effort is not the platform but your own setup: how consistently your ledger accounts are used, how clean your master data is, and how many exceptions your process really has.

How long does an integration project take?
