Belgian companies use AI more than Dutch ones. Eurostat put Belgium at 34.5% in 2025 against 33.2% for the Netherlands, on an EU-27 average of 20.0%. Yet the question most Flemish SMEs ask is unchanged: where do you start, what does it cost, and what does it actually return?
This guide covers the applications that pay back in practice, what they cost in the Belgian market, and how the kmo-portefeuille works since February 2026 — because something important changed there that much of the advice online has not caught up with.
What is artificial intelligence, practically speaking?
Artificial intelligence is software that performs tasks normally needing human judgement. Flemish Dutch says "artificiële intelligentie" where Netherlands Dutch says "kunstmatige intelligentie" — the same concept, a regional spelling difference.
For an SME the useful definition is narrower: AI is what makes unstructured work automatable. Reading documents, sorting email, drafting quotes, pulling fields off scans. Exactly the work that needed a person because the input was messy.
Applications that pay back in practice
Four categories return fastest for Flemish SMEs. They share the same traits: high volume, rule-heavy, and currently manual.
- Document processing — reading invoices, delivery notes, contracts and work orders automatically into your accounting or ERP system.
- Customer service — answering repeat questions from your own documentation, escalating to a person when the answer is not there.
- Quotes and follow-up — drafting quotes from standard components and chasing automatically when a customer goes quiet.
- Planning and forecasting — predicting stock, staffing or delivery times from your own history.

What these four share: you can measure the process before you touch it and prove the saving afterwards. Without that baseline any AI project stays a matter of opinion, and matters of opinion get defunded first.
What does AI cost for a Belgian SME?
The Belgian market has lower entry prices than the Dutch one. For one bounded process, Flemish providers start from around €1,500. A broader rollout across several processes with integrations typically runs €5,000 to €15,000, with monthly running costs of €200 to €600.
Custom work sits higher. Crux Digits publishes fixed prices: €2,500 for an audit, €20,000 for a proof of concept on your own data, from €50,000 for production. That gap is real and deserves an explanation — cheap packages configure existing tools, custom builds something that runs inside your systems and that you own. For a standard process the first is often enough. For something that differentiates your business, rarely.
The kmo-portefeuille changed — much of the web is now wrong on this
Since 1 February 2026 the advisory pillar of the kmo-portefeuille has been largely abolished. Advice on business strategy, digitalisation, marketing or internationalisation no longer qualifies. Only cybersecurity-focused advice remains supported.
The training pillar stays fully intact. Training within one of the eight future-oriented themes still qualifies, at 30% support for small enterprises and 20% for medium-sized, capped at €7,500 per year. For the digitalisation–cybersecurity and sustainability–energy themes that rises to 45% and 35% respectively.
The practical consequence for an AI project: your AI training is partly fundable, your AI advice is not. Anyone starting with AI in Flanders is well advised to separate the training component and run that through the kmo-portefeuille.
Separately, the Flemish policy plan allocates €15 million a year to the implementation track led by VLAIO, and the Flemish AI Academy (VAIA) offers over 1,500 courses through 500+ organisers, together with Agoria, Voka and UNIZO.
Two rules Flemish employers plan around
The EU AI Act binds identically in Belgium and the Netherlands. Article 50 transparency duties apply from 2 August 2026: you must tell people when they are interacting with an AI system. The heavier high-risk obligations moved to 2 December 2027 under Regulation (EU) 2026/1744.
Specifically Belgian is CAO nr. 39: when introducing new technology with collective consequences for employment or work organisation, you must inform and consult the works council, in principle before it is introduced. In practice that often sets your real timeline more than the European deadlines do.
Where do you start?
Pick one process where you lose time daily and where the data already exists. Measure what it costs now. Build or buy something small. Measure again. Only then is scaling a business question rather than a technology one.
