AI assistant for hot tub, swim spa and sauna importers and dealers

An AI assistant answers owners, service technicians and the parts counter from the brand's own error code lists, service manuals and parts catalogue. Electrical faults, claims and anything the documents do not cover go to a person.

A panel code, water that stays cold, a heater to replace: the same questions reach a spa importer every week. Below: what an assistant answers from your documents, and what stays with your team.

In short

A hot tub, swim spa or sauna importer hears four kinds of question: owners asking what a panel code means or why the water stays cold; technicians working with the cabinet open; the parts counter matching a heater, pump or filter cartridge to a model year; and new staff learning the range. The answers sit in your owner's and service manuals, error code lists per control system and parts catalogue. An assistant that reads only those documents answers each group and passes the rest to a person. SimplyBoost, our own product, does this from documents out of the box.

Answers for the service technician with the cabinet open

Service technicians replace heater elements, pump seals, control packs and sauna heater parts, often at the owner's house with the side panel off. The same error code can mean different things on each control system and panel generation, so a technician needs the documentation for the exact pack in front of them.

A separate agent for dealers and technicians runs on the signed-in pages of your dealer portal, where users are recognised by their verified email, or on a WhatsApp line. It answers from the service manuals, wiring diagrams and service bulletins that are not public, asks for the model year when that changes the answer, and names its document. Anything else goes to your technical team in Zendesk, Freshdesk, Gorgias or Slack with the conversation.

Parts questions

Which part fits which model, serial number and year

Hot tub and sauna ranges change control packs, pumps, jets and heater parts between model years, often under the same model name. An owner's filter question and a technician's control pack question both depend on year and serial number, as recorded in your parts catalogue and exploded views.

Upload the catalogue as PDF, or as a CSV with part numbers, models, model years and exploded-view positions. The assistant asks for the model year or serial number when that decides the answer, then gives the part number and its place on the drawing.

SimplyBoost does not look up stock: it passes the request to the parts desk with model, serial and part number filled in. Live stock from the ERP is a custom integration.

Training the team

New staff learn the range by asking the knowledge base

A spa importer's range spans acrylic hot tubs, swim spas, barrel saunas, infrared cabins, control systems, water care products and covers. A new colleague learns it by asking the longest-serving colleague, who then loses time on cases only they can solve.

The third agent on the account serves your own team. It reads the same manuals and catalogue as the dealer agent, plus internal documents: how a warranty claim is assessed, which technician covers which region, what the delivery crew needs to know about access. In their first winter, a new hire asks how frost protection works on an older panel and gets the answer with its source.

Rules in NL and BE

Guarantee, electrical and bathing-water rules behind the answers

Guarantee. In the Netherlands the ACM says the legal guarantee lasts as long as a buyer may reasonably expect, with any manufacturer's warranty on top. In Belgium the FOD Economie puts it at two years from purchase, as the seller's responsibility. The assistant quotes your conditions per country.

Electrical. The electrician works to NEN 1010 in the Netherlands, which follows the European HD 60364 series, and to the AREI in Belgium. That series has a part for rooms with sauna heaters, IEC 60364-7-703. Factory-built spas are covered by IEC 60335-2-60. The assistant repeats only what your installation manual specifies.

Bathing water. A business that offers a hot tub to guests falls under chapter 15 of the Bal, with a risk analysis and a management plan. A household, and a tub serving a single holiday unit, are excluded. Whirlpool water often sits at 25 to 45 °C, where legionella can grow.

FAQ

Frequently asked questions

Can service technicians use the assistant on the job?

Yes, through the dealer agent in your portal or on a WhatsApp line, from a phone beside the open cabinet. It answers from your service manuals, wiring diagrams and service bulletins, names its source and hands anything the documents do not cover to your technical team.

Can it tell which part fits a hot tub or sauna?

Yes, when your parts catalogue or CSV links each part to its models and model years. It asks for the model year or serial number and gives the part number with its position on the exploded view. Stock and orders go to your parts desk, because SimplyBoost does not look up stock.

How does it help new staff in the showroom or on the service desk?

New staff ask the internal agent instead of a senior colleague. It reads the same manuals and catalogue as the dealer agent plus your internal procedures, such as how a warranty claim is assessed, and every answer names its document, so the new colleague learns where the knowledge sits.

Should we choose SimplyBoost or a custom build?

Start with SimplyBoost when the answers are in documents: error codes, water care, procedures, parts, warranty conditions. Choose a custom Crux build when the answer depends on live data, such as ERP stock, claim status or a delivery slot. We build it alongside your IT partner and hand the code over.

What does it say about electrical work and water treatment?

Only what your documents say. On electrical questions it repeats your installation manual, such as the residual current device it specifies, and leaves installation and inspection to the electrician. On water treatment it follows your care schedule. It invents no dosages and makes no health claims.
